Terms & Conditions

1. Agreement to Terms

By entering any UK Charity Triathlon event, the participant confirms they have read, understood, and agree to abide by these Terms and Conditions, the Race Rules, and any event‑specific instructions issued by the organiser. Entry into the event constitutes acceptance of these terms.

2. Physical Fitness and Medical Responsibility

Participants acknowledge that triathlon events are physically demanding and carry inherent risks. By entering, the participant confirms they are medically and physically capable of completing the event. Participants take part entirely at their own risk and are responsible for their own actions and safety.

If participating while pregnant, written medical clearance from a qualified GP or healthcare professional must be provided in advance to info@woo.charitytriathlon.org.

3. Liability

The participant agrees that the Event Organiser, its officers, employees, agents, affiliates, associated companies, sponsors, volunteers, and medical advisers are not liable for any loss, damage, injury (including fatal injury), illness, claim, or expense arising from participation in any UK Charity Triathlon event, except where required by law.

Participants are responsible for safeguarding their own clothing, equipment, and personal belongings at the event.

4. Event Management and Compliance

Participants must follow all race rules, instructions, and safety guidance issued by officials, marshals, and event staff. The Event Organiser retains full authority over event operations, safety decisions, timings, and results.

The organiser reserves the right to alter the event format, course, or schedule without prior notice if required for safety or operational reasons.

5. Image Rights

By entering the event, participants grant the Event Organiser and authorised third parties permission to use their image (still or moving) and voice in event photography, video, promotional materials, and media coverage.

6. Communication and Event Information

Participants are responsible for ensuring they receive their entry confirmation email. If the Race Day Information email is not received, participants must check the UK Charity Triathlon website and their junk/spam folders. Participants must contact the organiser no later than five days before the event if they have not received their Race Day Information.

All information provided during registration must be accurate and kept up to date.

7. Race Rules
  • Diving, tumble turns, and backstroke are not permitted during the swim.
  • An approved cycle helmet must be worn during the cycle leg of the event.
  • Bicycles must be roadworthy and may be inspected before the start.
  • Participants must ride responsibly, obey the Highway Code where applicable, and consider other road users. Dangerous cycling may result in disqualification and possible police involvement.
  • Participants are responsible for navigating the course correctly.
  • Personal music systems are not permitted at any time.
  • Results will be published on the official website on the Monday/Tuesday following the event.
8. Code of Conduct

Participants must treat all competitors, volunteers, and the public with dignity and respect. Discrimination, harassment, bullying, or physical violence will not be tolerated. Participants must behave responsibly, avoid abusive language, and respect the event environment. All rubbish must be placed in bins provided.

Participants must cooperate fully with officials; failure to do so may result in disqualification.

9. Entry Types

Participants may enter as either:

  • Fundraising entrants (children or adults)
  • Paid entrants (children or adults)

Both entry types are open to all participants unless otherwise stated for a specific event.

9.1 Fundraising Entries (Children and Adults)

Fundraising entrants commit to raising a minimum amount for charity.

Children – UK Schools Charity Triathlon

  • Minimum fundraising: £50.
  • First £50 goes to UK Charity Triathlon.
  • Funds between £50 and £100 are split equally between the participant’s chosen school and charity, or go directly to the chosen charity if no school is selected.
  • Surlplus funds above £100 are also split equally between the school and charity, or go directly to the chosen charity if no school is selected.
  • Fundraising pages close at midnight on event day.
  • Donations must be made through the fundraising page; cash and cheques cannot be accepted.
  • Minimum fundraising must be met 20 days before the event unless otherwise stated.

Adults – UK Charity Triathlon

  • Minimum fundraising: £75.
  • First £75 goes to UK Charity Triathlon.
  • Funds between £75 and £150 go directly to the participant’s chosen charity.
  • Surplus funds above £150 also go to the chosen charity.
  • Fundraising pages close at midnight on event day.
  • Donations must be made through the fundraising page; cash and cheques cannot be accepted.
  • Minimum fundraising must be met 20 days before the event unless otherwise stated.
9.2 Paid Entries (Children and Adults)

Paid entrants pay an entry fee instead of committing to a fundraising minimum.

  • No fundraising is required.
  • Participants may choose to fundraise voluntarily if they wish.
  • Any voluntary fundraising will be split between Cancer Research UK and UK Charity Triathlon.
  • Paid entry fees are non‑refundable unless required by law or stated otherwise for a specific event.
10. Website and Fundraising Page Terms
  • Participants under 18 must have parent/guardian permission.
  • Fundraising pages must contain accurate information.
  • Content that is misleading, offensive, or inappropriate may be edited or removed.
  • Images uploaded must be owned by the participant or used with permission.
  • Uploaded images may be cropped or resized and may be used for promotional purposes.
  • Donations are processed securely and are non‑refundable unless required by law.
  • Funds are distributed to charities and schools after the event.
11. Privacy and Data

Personal data is collected only as necessary to manage event entries, fundraising, and communication. Data may be shared with payment processors or where required by law. Full details are available in the Privacy Policy.

12. Changes to Terms

The organiser may update these Terms and Conditions. Continued participation or use of the website after changes are published constitutes acceptance of the updated terms.
